In detail

About Passport translation

Passport translation might seem straightforward given the document's standardised ICAO format, but the biographical data page often contains critical details in the issuing country's language that do not appear in the machine-readable zone. Observations pages, endorsements, stamps, and amendment stickers all require accurate translation, particularly when they record name changes, travel restrictions, or nationality annotations.

Key translation challenges

Transliteration inconsistencies
Passports from countries using non-Latin scripts often contain transliterations that differ from those on other documents. Arabic, Chinese, and Russian names may be romanised differently depending on when and where the passport was issued, and translators must flag these discrepancies.
Endorsements and observations
Many passports include handwritten or stamped endorsements — such as travel bans, name amendments, or dual-nationality annotations — in the national language only. These carry legal significance and must not be overlooked during translation.

UKVI visa requirements

A translated passport is required when the biographical page or endorsements are in a language other than English. For Tier 2 and Tier 5 visa applications, UKVI may also require translations of entry and exit stamps to verify travel history. In nationality and settlement applications, passport translations help establish continuous residence and the absence of prolonged absences from the UK.

  5. 5
Name transliterations are cross-checked against the machine-readable zone (MRZ) to flag any inconsistencies

Country-specific Passport formats

Russia
Russian passports contain a patronymic (otchestvo) field that does not appear in the MRZ. The internal passport (vnutrenniy pasport) and international passport (zagranichniy pasport) may use different transliterations of the same name.
Japan
Japanese passports list the name in kanji and romaji. The romaji transliteration follows the Hepburn system, but older passports may use variant romanisations that differ from other documents.
Iran
Iranian passports are in Farsi with the biographical page showing both Farsi and a Latin transliteration. The transliteration often differs from the spelling used in other countries' visas or documents, requiring careful notation.
China
Chinese passports show the name in Chinese characters and pinyin. The pinyin romanisation may not match the name used in Hong Kong or Macanese identity documents, which often use Cantonese romanisation.

Common Passport translation rejection reasons

Name transliteration in the passport translation does not match the spelling used in other submitted documents
The translator should note both the MRZ spelling and any alternative transliterations, and include an annotation explaining the discrepancy.
Endorsements or observation pages were not included in the translation
Always upload and translate every page with handwritten notes, stamps, or endorsements — not just the biographical data page.

The certificate

What our certification statement says

Every translation is delivered with a signed certification page, in the wording UK Visas and Immigration, the Home Office and UK courts expect to see.

“I, [translator’s full name], certify that I am competent to translate from the source language into English, and that this is, to the best of my knowledge and belief, a true and accurate translation of the original document.”

The statement is followed by the translator’s signature, the date, and our company name and contact details, and the PDF is sealed with a PAdES-LTV digital signature. The certificate confirms the accuracy of the translation only.

FAQ

Passport translation FAQs

Can I translate my own passport for a UK visa application?

No. Home Office does not accept self-translated documents, even if you are fluent in both languages. The translation must be produced independently and certified with the translator's declaration, name, signature, and contact details. We provide that certification as standard.

Do I need to submit the original passport with the translation?

Yes. You submit the certified English translation together with a copy of the original passport. Never submit the translation on its own — Home Office matches the translation against the source document.

Is your passport translation UKVI certified?

Yes. Every passport translation is UKVI-certified and meets Home Office rules. You can use it for all UK visa and immigration applications, including spouse visas, work visas, and settlement applications.

How much does passport translation cost?

A passport translation costs £17.99 per page with 24-hour delivery. Rush 8-hour delivery is £29.99 per page. Upload your document to see your exact price right away.

What information is included in the certification?
