1. Interpretation

The following definitions apply in these Terms:

• "Client", "You", "Your" means the person, firm or company placing an Order;
• "Order" means a request for Services submitted through Our Site;
• "Services" means the translation services provided through Our Site;
• "Our Site" means this website, certifiedvisatranslation.com;
• "We", "Us", "Our" means Quantum Cognition Ltd (trading as CertifiedVisaTranslation), a limited company registered in England and Wales under company number 16671501;
• "Terms" means these Terms and Conditions.

2. Application of Terms

These Terms apply to all Orders placed through Our Site. By placing an Order, You agree to be bound by these Terms. If You do not agree to these Terms, You must not use Our Services.

These Terms constitute the entire agreement between You and Us. Any previous agreements, understandings, representations or arrangements are superseded.

3. Our Services

We provide:

• Certified translation services for UK visa and immigration applications;
• Translation of official documents from over 90 languages into English, and into German, Spanish, Danish or Japanese where the translation is for use with the authorities of those countries;
• Digital certification compliant with UKVI requirements;
• Standard delivery (within 24 hours) and Rush delivery (within 8 hours) options. Translations certified for use in Germany or Spain are delivered within two working days, and rush delivery is not available for translations certified for use outside the UK, US or Ireland.

All translations are performed using advanced AI technology with quality assurance processes. Each translation includes a certificate of accuracy and translator declaration as required by UKVI.

4. Placing an Order

To place an Order:

• Upload your document(s) through Our Site;
• Our system will automatically detect the language and provide a quote;
• Select your delivery option (Standard or Rush);
• Complete payment through our secure payment system;
• You will receive an order confirmation by email.

By submitting an Order, You warrant that all information provided is accurate and that You have the right to have the documents translated.

5. Pricing and Payment

• Payment is required in full at the time of ordering;
• We accept payment by credit/debit card through our secure payment processor.

The price quoted at the time of ordering is the total amount payable. There are no hidden fees or additional charges.

6. Delivery

Completed translations will be delivered electronically to the email address provided when placing the Order. Delivery times run from receipt of payment and all required documents.

We endeavour to meet all delivery deadlines but shall not be liable for any delays caused by:

• Incomplete or illegible source documents;
• Technical issues beyond our control;
• Force majeure events.

7. Quality and Accuracy

We take all reasonable care to ensure translations are accurate and complete. However, You acknowledge that:

• Translations are provided for immigration purposes and may not be suitable for other uses;
• You are responsible for reviewing the translation before submission;
• We cannot guarantee acceptance by UKVI or any other authority;
• Technical or specialised terminology may require additional verification.

8. Your Obligations

You must:

• Provide clear, complete and legible documents;
• Ensure documents do not contain illegal or inappropriate content;
• Have the legal right to have the documents translated;
• Not use the Services for any unlawful purpose;
• Review translations before submission to authorities.

9. Intellectual Property

You retain all rights to your original documents. We retain no rights to your content beyond what is necessary to provide the Services.

The translation, certification format, and any accompanying documentation We provide remain Our intellectual property. You are granted a licence to use these solely for the purpose for which they were provided.

10. Confidentiality

We treat all documents and translations as confidential. We will not disclose your information to third parties except:

• As necessary to provide the Services;
• As required by law;
• With your express consent.

Documents are securely deleted from our systems 90 days after order completion unless you request earlier deletion.

11. Cancellations and Refunds

You may cancel an Order and receive a full refund if:

• Cancellation is requested before We begin processing;
• We fail to deliver within the promised timeframe;
• The translation contains material errors that affect its usability.

Refund requests must be made within 30 days of delivery. To request a refund, contact us at   with your order number and reason for the refund request.

12. Revisions and Corrections

Each Order includes up to two (2) free revisions per document to correct translation errors, omissions, or inaccuracies in the translation We provided. Revision requests are submitted through the secure order page linked in Your order emails.

Once the two free revisions for a document have been used, any further revisions are at Our discretion and may be subject to an additional fee. Free revisions cover corrections to Our translation only; they do not cover changes to the source document, the addition of new content, or amendments arising from information that was not present in the original document You supplied.

13. Limitation of Liability

To the fullest extent permitted by law:

• Our total liability to You shall not exceed the amount paid for the relevant Order;
• We shall not be liable for any indirect, consequential, or special losses;
• We shall not be liable for any loss arising from visa application outcomes;
• We do not exclude liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.

14. Indemnity

You agree to indemnify and hold Us harmless from any claims, losses, damages, or expenses (including legal fees) arising from:

• Your breach of these Terms;
• Your use of the Services;
• Any content You provide to Us;
• Your violation of any law or third-party rights.

15. Data Protection

We process personal data in accordance with Our Privacy Policy and applicable data protection laws including the UK GDPR. By using Our Services, You consent to such processing and warrant that all data provided is accurate.

16. Force Majeure

We shall not be liable for any failure or delay in performing Our obligations if such failure or delay results from circumstances beyond Our reasonable control, including but not limited to acts of God, natural disasters, war, terrorism, riots, embargos, acts of civil or military authorities, fire, floods, accidents, pandemic, strikes, or shortages of transportation, facilities, fuel, energy, labour or materials.

17. Termination

We may terminate or suspend Your access to Our Services immediately, without prior notice, if:

• You breach these Terms;
• You engage in fraudulent activity;
• You use the Services for illegal purposes;
• We are required to do so by law.

18. Changes to Terms

We may update these Terms from time to time. Any changes will be posted on this page with an updated revision date. Your continued use of the Services after any changes constitutes acceptance of the new Terms.

19. Severability

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall continue to be valid and enforceable to the fullest extent permitted by law.

20. Waiver

No failure or delay by Us in exercising any right or remedy shall constitute a waiver of that right or remedy, nor shall it prevent or restrict any future exercise of that or any other right or remedy.

21. Entire Agreement

These Terms, together with Our Privacy Policy, constitute the entire agreement between You and Us regarding the use of Our Services and supersede all prior agreements and understandings.

22. Third-Party Rights

These Terms are between You and Us. No third party shall have any rights to enforce any of these Terms.

23. Governing Law and Jurisdiction

These Terms shall be governed by and construed in accordance with the laws of England and Wales. Any disputes arising under or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
