Polish Marriage Certificate Translation for UK Visa

Polish nationals often need a certified translation of the akt małżeństwa. This applies to UK visas and to late EU Settlement Scheme applications. Polish surnames change form by gender, and Polish names use special letters. Both points need a qualified Polish translator.

Polish nationals are one of the largest groups applying for UK settlement and visa extensions. Many need a certified translation of their Polish marriage certificate. It may be for the EU Settlement Scheme (a late application or an administrative review), a UK spouse visa for a non-EU spouse, or an ILR application. Poland's civil registration system produces clear, well-structured documents. But the Polish language brings its own translation challenges.

EUSS Late Applications: Translation Still Required

Polish nationals who missed the EU Settlement Scheme deadline (30 June 2021) can still apply late if they have reasonable grounds. You may be applying as the spouse of an EU/EEA national, or using family documents to support your case. Either way, UKVI still wants certified translations of your Polish documents, including the akt małżeństwa.

The Polish Marriage Certificate: Akt Małżeństwa

Poland's Urząd Stanu Cywilnego (USC — Civil Registry Office) issues the akt małżeństwa. The document records the full names of both spouses, including their surnames before the marriage. It also shows dates and places of birth, nationalities, parents' names, the date and place of the marriage, and the registry reference number. Finally, it states whether the marriage was civil, religious, or concordat (a joint civil-religious ceremony).

Since 2015, Polish civil status records are held in the electronic BUSC (Baza Usług Stanu Cywilnego) system. You can get an official copy (odpis) from any USC in Poland, not just the one where you married. Two types are available: the odpis skrócony (shortened copy) and the odpis zupełny (full copy showing the complete history).

Odpis Skrócony vs Odpis Zupełny

  • Odpis skrócony (shortened copy) — Current status only. This is enough for most UK visa applications
  • Odpis zupełny (full copy) — Shows the complete history, including previous names, corrections, and notes. Use this if you have changed your name or been married before
  • Ask any USC in Poland, or a Polish consulate abroad. You can also use the Mój Gov portal (moj.gov.pl)

Polish-Specific Translation Challenges

Gendered Surnames

Polish surnames change form for men and women. A husband may be Kowalski while his wife is Kowalska. A husband named Wiśniewski has a wife named Wiśniewska. Children take the male or female form, depending on their sex. On a Polish marriage certificate, each spouse's surname appears in the correct form.

Name Discrepancy: Kowalska vs Kowalski

Sometimes your UK documents show the wrong form of your surname. This happens when an earlier translation turned "Kowalska" into "Kowalski". UKVI may then query the difference. Your certified translator must keep the exact form used in the original Polish document. If needed, they can add a translator's note that explains how Polish surnames change for men and women.

Polish Diacritics

Polish uses nine special letters: ą, ć, ę, ł, ń, ó, ś, ź, ż. A certified translation keeps them exactly as they are. The letter ł (barred L) has no English match, so it stays as "ł" in the translation. It is never changed to "l" or "w". If your passport omits Polish diacritics and shows "Wawrzyniak" rather than "Wawrzyniak" (no change in this case), but shows "Kowalski" for "Kowalski" — the translation will match your passport.

Concordat Marriages: Religious and Civil in One Ceremony

Poland has a concordat with the Holy See. Under it, a Catholic wedding also counts as a civil marriage, as long as it follows the set form. A concordat marriage still produces a single akt małżeństwa from the USC, and it looks exactly like a civil marriage certificate. UKVI treats concordat marriages as legally valid civil marriages.

Frequently Asked Questions

My Polish marriage certificate shows my parents' full names. Is this a privacy concern for UKVI?

No. The odpis zupełny includes parents' names as part of the document. This is normal for Polish civil status records, and UKVI expects it. The whole document, parents' names included, must be translated as it appears. UKVI caseworkers know this format well.

I was married in Poland before moving to the UK in 2004. My certificate is very old. Is it still valid?

Yes. Polish marriage certificates do not expire. But if your certificate is old and worn, or you cannot find it, you can ask any USC in Poland for a fresh odpis using your national ID number. The new odpis shows your current civil status, with any later notes added (such as a divorce).

My wife took my surname when we married. The certificate shows her maiden name and my surname separately. How is this shown in the translation?

The akt małżeństwa records both surnames used before the marriage and the surname each spouse chose after it. Your certified translator includes every name field as it appears, and labels each one clearly. That gives UKVI the full name history it needs to check your documents match.
