Tax Residency Certificate Translation for UK Visas
A tax residency certificate decides which country can tax your worldwide income. If yours is in another language, UKVI and HMRC need a certified translation. Here is what we include, and why the small details matter.
A Tax Residency Certificate (TRC) proves which country treats you as tax-resident. Other countries call it a Certificate of Residence or an attestation de résidence fiscale. It unlocks Double Taxation Agreement (DTA) relief. It also supports Innovator Founder and Global Talent applications. HMRC often asks for one when foreign income shows up on a UK tax return.
When You Need a Translated TRC
- DTA claims to HMRC — so you are not taxed twice on the same income, pension, or royalty.
- Innovator Founder and Global Talent visas — to show you ran a business abroad as a tax resident there.
- Global Business Mobility Expansion Worker visa — to show where the parent company is tax-resident. (The Sole Representative of an Overseas Business route closed to new applicants in April 2022.)
- Statutory Residence Test submissions to HMRC — where you must show you are still tax-resident abroad to get split-year treatment.
- CRS or FATCA questions from UK banks — where the bank needs your self-certification form and TRC to keep your account open.
- Self-employed income evidence on Spouse visas under Appendix FM Category F, where the tax authority is in your home country.
TRC is not the same as a tax return
A TRC is a one-page certificate from a tax authority. It confirms that a person or company is tax-resident in that country for a given year. A tax return is different: it shows income and tax paid. You may need both, and each is translated in its own way.
What a TRC Typically Contains
TRCs are short but packed with detail. A good translation keeps every numbered field. HMRC and UKVI caseworkers check those fields against the DTA or your application forms.
Issuing authority
The HMRC equivalent in that country: Finanzamt (Germany), Agencia Tributaria (Spain), Agenzia delle Entrate (Italy), IRS (USA), ATO (Australia). We keep the original name in the translation.
Taxpayer identification
Name, address, and tax ID (TIN, NIF, CUIT, or PAN). We copy tax IDs exactly, because each one is unique worldwide.
Period covered
The exact tax year or date range, such as "tax year 2025" or "01/01/2025 to 31/12/2025". We put dates into UK format (DD/MM/YYYY).
DTA reference (critical)
Many TRCs name the Double Taxation Agreement with the UK. We copy that reference exactly, so HMRC can see which article you are relying on.
Issuing officer's declaration
The set phrase ("it is hereby certified that...") changes from country to country. Getting it right matters. Some authorities add conditions, and those must stay in.
Seal, QR code and signature
We describe each one as a labelled block. Many tax authorities now add a QR code or a check-it-online link. We keep those, so HMRC can confirm the document is real.
TRC Names by Country
| Country | Original name | Issuing body |
|---|---|---|
| France | Attestation de résidence fiscale | DGFIP (SIE local) |
| Germany | Ansässigkeitsbescheinigung | Bundeszentralamt für Steuern |
| Spain | Certificado de residencia fiscal | Agencia Tributaria (AEAT) |
(TRC) | Federal Tax Authority (FTA) |
| India | Tax Residency Certificate (Form 10FB) | Income Tax Department |
| China | 中国税收居民身份证明 | State Taxation Administration |
| Russia | Подтверждение налогового резидентства РФ | Federal Tax Service (FNS) |
Why the Tax Year Matters
Tax years are not the same everywhere. If a translator assumes a calendar year without checking, the translation can show the wrong period of residency.
| Country | Tax year |
|---|---|
| UK | 6 April to 5 April |
| Most EU countries / USA / China | 1 January to 31 December |
| India / Pakistan / Nepal | 1 April to 31 March |
| Australia / New Zealand | 1 July to 30 June |
| Bangladesh / Egypt | 1 July to 30 June |
Translation mistake that costs DTA relief
Say an Indian TRC states "tax year 2024–25". That means 1 April 2024 to 31 March 2025. If the translation just says "2024", HMRC may decide the certificate does not cover the right period and refuse DTA relief. Always translate the full year range, not only the first number.
What a Certified TRC Translation Includes
- The issuing authority translated in full, with the original name in brackets.
- The taxpayer ID number copied exactly, and labelled the way the UK does it.
- The exact period covered, in UK date format (DD/MM/YYYY). If the original format is unclear, we keep it as well.
- DTA article references copied exactly (Article 4, Article 15, and so on).
- Seals, QR codes, and signatures shown as labelled blocks, with any check-it-online link kept.
- A certification page with the translator's credentials, a statement of accuracy, the date, and contact details.
Turnaround and Cost
- Single-page TRC: ready in 24 hours, at a flat certified-translation rate.
- A bundle of TRC, tax return, and DTA claim documents: 2–3 working days.
- Urgent express: 4 hours for a single-page TRC.
Frequently Asked Questions
Does HMRC accept translations made by anyone?
HMRC normally accepts certified translations from a recognised provider. Our certification page sets out the translator's credentials, and HMRC accepts it without question.
Do I need an apostille on my TRC?
For an HMRC DTA claim, usually not. Some UKVI routes are different. On Innovator Founder, where you present a foreign business structure, an apostille is a good idea. Ask your immigration solicitor before you order the TRC from the foreign authority.
Some TRCs are issued electronically with a QR code. Can you still certify the translation?
Yes. Electronic TRCs are now the norm. We translate the text, show the QR code as a labelled block, and keep the check-it-online link. HMRC can then confirm the original itself.
What if my TRC is valid for a fiscal year that straddles the UK tax year?
This is common, and it is not a problem. The translation keeps the foreign period exactly as it is. HMRC then handles the overlap under its Statutory Residence Test rules. The translator does not convert the dates into UK tax-year form.
Can a company TRC be translated alongside a personal one?
Yes. They often come together on Innovator Founder or Expansion Worker applications. Each gets its own certification page, so you can send them apart or together.
Is the TRC translation by itself enough for DTA relief?
For a simple DTA claim on pension or royalty income, yes. The TRC plus the HMRC DT claim form is the standard set. For harder cases, such as split-year treatment or mixed employment income, HMRC usually asks for tax returns and bank statements too.
