Pension Statement Translation for UK Visas

Retirees often need a certified English translation of their foreign pension statement. This applies to Spouse visas, Adult Dependent Relative visas and UK resettlement. Here's how to get it right.

UKVI treats pension income differently from employment income. Under Appendix FM Category E, a pension counts towards the £29,000 minimum income requirement on Spouse and partner visas. But it only counts if the paperwork is in English and set out correctly. This guide covers state pensions, occupational pensions, private annuities and letters from foreign pension authorities. It also covers the three most common translation mistakes.

When Pension Evidence Matters on a UK Visa

  • Spouse / Partner visa (Appendix FM Category E): pension income from the sponsor or applicant counts towards the £29,000 minimum, with 12 months of statements.
  • Adult Dependent Relative visa: you must show the applicant has little income of their own at home. Pension statements show what they do receive and why it is not enough.
  • UK retirement resettlement: there is no retiree visa, but pension evidence is used on many long-term visit and family routes.
  • Financial settlement on divorce: foreign pension statements used in UK Family Court proceedings.
  • Sponsorship of relatives: where a UK-based relative uses pension income to support an applicant's maintenance claim.

Category E vs Category A: why pensions are treated differently

Appendix FM Category A (salaried income) needs payslips, P60s and a letter from the employer. Category E (pension income) works the same way, but with different papers. The annual pension statement replaces the payslips. The pension provider's letter replaces the employer letter. If either one is in another language, you need a certified translation.

What Counts as a "Pension Statement"

UKVI does not publish a single definition. But it usually accepts the foreign documents below as evidence of pension income, as long as you add a certified translation:

Foreign Pension Systems UKVI Sees Often

Each country runs its state pension differently. A translator who knows the system does more than swap the words. They also explain how the pension is structured, because the UKVI caseworker may never have seen that country's documents before.

Germany — Deutsche Rentenversicherung

The Rentenbescheid is the main document. It separates Altersrente(age pension), Erwerbsminderungsrente (disability) and Hinterbliebenenrente(survivor). UKVI counts each one differently.

France — CNAV / Agirc-Arrco

Basic pension from CNAV plus the complementary system Agirc-Arrco. UKVI needs both translated to see total monthly income.

Spain — Seguridad Social

The Certificado de pensión from the INSS shows the annual amount. It also says whether you are paid 12 or 14 times a year.

Italy — INPS

Cedolino pensione is the monthly slip; Obis-M is the annual summary. UKVI usually wants the Obis-M plus 12 cedolini.

Poland — ZUS

The Decyzja emerytalna (pension decision) plus the annual PIT-40A tax statement are the main evidence.

India — EPFO / pension fund

EPS-95 pension statement plus Form 10C/10D for withdrawal. Private pensions via LIC show separately.

Pakistan — EOBI

Employees' Old-Age Benefits Institution (EOBI) pension book and payment slip. Civil servants' pensions come from the AGPR instead.

Philippines — SSS and GSIS

Private-sector retirees are paid by SSS. Government retirees are paid by GSIS. The monthly pension ATM deposit advice is the everyday proof.

Currency Conversion: The Translator's Role

A certified translator does not convert currencies — that is UKVI's job, using the OANDA rate on the date of application. But the translator must:

  • Preserve the original currency symbol and amount exactly as shown (e.g. €1,245.67 stays as €1,245.67).
  • Change the decimal separator and thousands separator to the UK style (1.245,67 becomes 1,245.67). The number itself does not change — only the punctuation.
  • Preserve the payment frequency phrase ("per mese", "monatlich", "miesięcznie") and annotate in English: "per mese [per month]".
  • Never convert to GBP. That is not the translator's job, and it could clash with the OANDA rate UKVI applies.

Three translation mistakes that cause refusals

  1. Translating the pension authority name into English and losing the original, so UKVI cannot verify it.
  2. Leaving out the account holder's name in the original script — especially on Cyrillic, Arabic and Chinese documents.
  3. Dropping the payment schedule (14 payments in Spain, 13 in Italy). UKVI then works out the wrong annual income.

What a Certified Pension Translation Includes

  • Full translation of the pension authority name, reference number and policyholder.
  • All monetary values preserved with original currency and converted punctuation.
  • Payment schedule (monthly, quarterly, annual, or country-specific multi-payment years) made explicit.
  • Official stamps, QR codes and signatures described where they appear. UKVI wants to see that the original was stamped.
  • Certification page with translator credentials, declaration of accuracy, date and contact details.

  • 12 monthly slips plus annual summary: 48 hours, bundled pricing.

Frequently Asked Questions

Does UKVI always require 12 months of pension slips?

For Appendix FM Category E, yes. The standard is 12 months of evidence showing the pension was paid without a break. An annual statement on its own is not usually enough. Pair it with monthly slips, or with bank statements showing the money arriving.

My pension is paid in two instalments per year. Does that still count?

Yes. What matters for the £29,000 minimum income threshold is the yearly total. The translator will spell out the payment schedule so UKVI can work it out correctly.

What if my pension is paid in cash, not into a bank account?

This happens in some countries, but it is very hard to prove to UKVI. Ask the pension authority for a stamped letter confirming the monthly payments. That letter plus a tax return becomes your evidence.

Can a pension cover the £29,000 requirement on its own?

Yes, if the annual gross pension reaches the threshold. UKVI uses the gross figure, converted at the OANDA closing rate on the date you apply. If the pension is close to the threshold, add savings evidence under Category E+D as a cushion.

Is a pension translation suitable for the Adult Dependent Relative route?

Yes — it is often central. On the ADR route you must show the applicant cannot reasonably live alone on what they already have. A certified pension translation, plus evidence of living costs, shows UKVI that the pension does not cover long-term care.
