Documents to Translate for UK Settlement (ILR)

The most comprehensive document translation guide for Indefinite Leave to Remain applications. Police certificates, civil documents, financial records, and more.

Why ILR Requires the Most Thorough Document Translation

Indefinite Leave to Remain (ILR) is the biggest step in your UK immigration journey. It gives you the right to live and work in the UK for good, with no time limit. Because of this, the Home Office checks ILR applications more closely than any other visa type. You will usually need to translate more documents for ILR than for any earlier application.

An ILR application covers your whole time in the UK and the years before it. You need police clearance from every country you have lived in for 12 months or more. You also need civil documents that prove your identity and family status, plus full financial records. Most ILR applicants need between 8 and 20 documents translated. The exact number depends on your own circumstances and immigration history.

UKVI Translation Requirement for ILR

Every document that is not in English or Welsh needs a certified translation for ILR. That covers old documents from your country of origin, police clearance certificates from every country where you have lived for 12 months or more, and any overseas financial or employment records you use as supporting evidence. Each translation must carry a signed certification statement from the translator.

ILR Translation Pricing β€” 2026

All languages from Β£17.99 per page. ILR applications often need 10–20+ documents translated. Upload them all at once. You then get one full quote and one single order.

What Is Indefinite Leave to Remain (ILR)?

ILR (also called β€œsettlement”) lets you live and work in the UK with no time limit and no visa conditions. It is the step before British citizenship. You can apply once you have lived in the UK for a qualifying period without a break. That is usually 5 years on a work visa, 2–5 years on a spouse or family visa, or 10 years of other continuous lawful residence.

Skilled Worker Route

5 years of continuous residence on a Skilled Worker (previously Tier 2) visa. Your employer must still be a licensed sponsor when you apply.

Family / Spouse Route

Usually 5 years (2.5 + 2.5) as a spouse/partner of a British citizen or ILR holder. Some routes allow earlier settlement.

Long Residence Route

10 years of continuous lawful residence in the UK, whatever your visa type. This route needs the most paperwork.

ILR Document Translation Checklist

Identity & Civil Status Documents

  • Birth certificate β€” from your country of birth. Essential for all ILR applications.
  • Marriage certificate β€” needed if you apply with a partner, or your application rests on that relationship.
  • Divorce decree(s) β€” needed if you were married before, whenever and wherever the divorce took place.
  • Children's birth certificates β€” if applying with dependent children.
  • Change of name deed β€” if your name has changed since birth, and the deed was issued abroad in another language.

Police Clearance Certificates

  • Police certificate from country of birth β€” required for most ILR routes.
  • Police certificates from all countries lived in for 12+ months in the last 10 years (excluding the UK).
  • Police certificate from country of nationality if different from birth or residence countries.

Financial & Employment Records

  • Overseas bank statements β€” if you use overseas money records to show you are financially stable.
  • Overseas employment contracts / references β€” if your ILR route asks for proof of your work history.
  • Academic qualifications β€” degree certificates or professional qualifications relevant to your visa route.
  • Pension or investment documents β€” for retired or self-funded applicants who need to show they can support themselves.

Documents You Must Translate for ILR

ILR applications need a bigger set of translated documents than any other UK visa type:

Birth Certificate

An identity document that every ILR application needs. If it comes from a non-English-speaking country, a certified translation is a must.

Marriage / Civil Partnership Certificate

Needed if you apply with a partner, or your application rests on that relationship. It must show both full names, plus the date and place of the marriage.

Divorce Decree

Needed if you were married before, no matter when the divorce happened. A foreign divorce decree must be translated in full, including every recital and order.

Police Clearance Certificates

From EVERY country you have lived in for 12+ months. These are the documents we translate most often for ILR. They always come in the local language of the issuing country.

Bank Statements & Financial Records

Proof that you are financially stable. On most routes, UK bank statements in English are enough, but overseas records must be translated.

Employment Records

Overseas employment contracts, reference letters, and pay records. Needed on routes where continuous employment is part of the eligibility rules.

Children's Birth Certificates

If applying for family settlement with dependent children. Each child's birth certificate must be translated separately.

Previous Visa / Immigration Documents

Old immigration documents from other countries may carry stamps, endorsements, or conditions that are not in English. These may need translation.

Police Clearance Certificates: The Key ILR Translation

Police clearance certificates are the documents we translate most often for ILR. You need one from every country where you have lived for 12 months or more in the last 10 years (or since you turned 18, if that period is shorter). They are issued in the local official language, so they nearly always need a certified translation. Here are common countries and the name each one uses:

India

Police Clearance Certificate (PCC) from Regional Passport Office or local police. May be in Hindi or regional language.

Pakistan

Character Certificate from a local police station or DIG office. Usually in Urdu β€” standard Β£17.99/page pricing applies.

Nigeria

Police Clearance Certificate from the Nigeria Police Force. Usually in English β€” it may not need translation.

China

No Criminal Record Certificate from Ministry of Public Security. In Chinese β€” standard Β£17.99/page pricing applies.

Philippines

NBI Clearance from the National Bureau of Investigation. Issued in English β€” it may not need translation.

Bangladesh

Police Clearance Certificate from Bangladesh Police. In Bengali β€” standard Β£17.99/page pricing applies.

ILR Translation Challenges by Document Type

Historical Civil Documents

Birth and marriage certificates from decades ago often use old-fashioned wording, handwriting, or admin terms no longer in use. They need a specialist translator who knows historical documents from that country.

Divorce Decree Complexity

Foreign divorce decrees are often long legal documents that run to several pages. They must be translated in full, including every recital, order, and condition. A part translation of a divorce document is not accepted.

Multi-Language Document Sets

ILR applicants often hold documents from several countries in several languages. Sorting and translating a set in 3–5 languages takes careful planning.

Religious Marriage Certificates

Religious marriage documents (Nikah certificates, church records, and so on) may be in Arabic, Latin, or a local language. They often use religious terms that the translation must keep exactly right.

Overseas Financial Records

Foreign bank statements use different layouts, currency symbols, and banking terms. The translator must get every account number, balance, and transaction description right.

Employment Documentation

Foreign employment contracts, P60 equivalents, and reference letters must show the right job titles, salary details, and dates. These build the record of your immigration history.

Common ILR Refusal Reasons Related to Translation

Missing Police Clearance Translation

Missing translated police certificates from one of the required countries is a common reason for refusal or delay. The Home Office cannot check your criminal record history without them.

Incomplete Divorce Decree Translation

Sending only part of a divorce decree in translation β€” for example, just the final order β€” can raise doubts about your marital status evidence.

Expired Police Certificates

Police clearance certificates usually run out 6–12 months after they are issued. If yours has expired by the time you apply, UKVI may reject it. Get your certificates and translate them close to your application date.

Name Discrepancy Between Documents

Names can be spelled out differently from one document to the next. If they do not match, UKVI may ask whether the documents belong to the same person. Every translation must spell your name the same way.

Missing Countries from Police Clearance

Some applicants forget a country where they studied or did a short work placement. UKVI wants police clearance from every country where you have lived for 12 months or more since you turned 18 β€” not just your home country.

How to Get Your ILR Documents Translated

1

Audit Your Complete Document Collection

List every country you have lived in for 12 months or more since you turned 18. Then find all your civil documents (birth certificate, marriage or divorce papers, children's birth certificates) and any money or work records that are not in English. ILR asks for more paperwork than any other visa type, so be thorough.

2

Obtain Fresh Police Clearance Certificates

Police clearance certificates run out. Ask for new ones from every relevant country close to your application date. Waiting times vary a lot: India and Pakistan can take 4–8 weeks, so plan ahead. Translate each one as soon as it arrives.

3

Upload All Documents in One Order

Upload scans of all your non-English documents together. Our system spots each language and prices it for you. You can send documents in several languages in one order and get back a single, complete package.

4

Professional Multi-Language Translation

Expert translators handle your whole set, even when the documents are in different languages. Each one is translated in full, including every stamp and handwritten note.

5

Receive Complete Translation Package

We email all your certified translations as UKVI-compliant PDFs. Each PDF holds the original document and the certified English translation. Print them and sort them by type for your ILR application bundle.

Frequently Asked Questions β€” ILR Translation

How many documents do I typically need translated for ILR?

It varies a lot. A simple case, where you have only lived in one non-English-speaking country, might need 4–6 documents: birth certificate, marriage certificate, police certificate, and financial records. If you have lived in several countries, have children, or have a complicated marital history, you may need 15–20+ documents. Upload your full set for a complete quote.

Do police clearance certificates expire for ILR?

Yes. Most are treated as valid for 6 months from the date of issue, though some countries set a shorter or longer period. Always ask for fresh certificates close to your application date. The translation itself never runs out, so you can order it as soon as the certificate arrives.

Can I reuse translations from my original visa application?

Yes, for documents that never change, like birth and marriage certificates. Certified translations do not expire. If you had your birth certificate translated for your first visa, you can use that same translation for ILR. Documents that change over time β€” bank statements, police certificates, employment letters β€” need fresh translations with current details.

What if I cannot get a police clearance from a country I lived in?

Some countries cannot issue police clearance certificates because of conflict, political instability, or red tape. UKVI may then accept a written explanation, with evidence that you tried to get the certificate. Still translate any partial paperwork or official letters you received about it. Ask an immigration solicitor for advice on your specific country.

Do I need to translate P60s or payslips from UK employment?

No. UK-issued P60s, payslips, and employment contracts are already in English, so they need no translation. Only translate money and work documents issued in another language. Send UK tax and employment records exactly as they are.

How long does a full ILR document translation take?

Standard turnaround is within 24 hours per document. For sets of 10 or more, allow 48 hours so everything can be finished and quality-checked. If your application date is close, rush 8-hour processing is available. Tell us your deadline when you upload.

ILR Processing Times and Document Preparation

ILR processing times decide how early you must start preparing your translated documents. Many applicants misjudge the timeline and end up rushing for certified translations at the last minute. This happens most often with police clearance certificates, because they expire.

The ILR Document Preparation Window

On most routes you can apply for ILR up to 28 days before your qualifying period ends. That 28-day window is your main chance to apply. But start preparing documents 3–6 months earlier, especially police clearance certificates from slower countries.

The main limit is police clearance validity. Most certificates count as current for 6 months from issue. If you ask for them too early and your application slips, you may need new ones β€” and that restarts an 8-week wait.

6–12 Months Before Your ILR Eligibility Date

Work out exactly what you need. List every country you have lived in for 12 months or more since you turned 18, including study years abroad and work placements. Check whether your civil documents (birth certificate, marriage certificates, divorce decrees) need replacing β€” some are old and falling apart. Look up police clearance waiting times for each country. India, Pakistan, Nigeria, and the Philippines can take 6–12 weeks.

3–6 Months Before Your ILR Eligibility Date

Ask for police clearance certificates from the slowest countries first. Start collecting civil documents: request certified copies of birth certificates, marriage certificates, and divorce decrees from the issuing authority. If a document has to come from abroad, allow for postal delays. Some applicants give a family member power of attorney to collect documents for them back home.

4–8 Weeks Before Your ILR Application

Send each document for certified translation as soon as it arrives. Standard translation takes 24 hours. Uploading the whole set at once gives you one complete package instead of many small deliveries. Allow 48 hours for sets of 10 or more documents. Now is also the time to book your UKVI appointment, if you need one, or start your online application.

1–2 Weeks Before Submission

Put your full application bundle together. Check that every translated document matches the names and dates in your passport. Check that your police clearance certificates are still valid. If any run out before your appointment, you will need new certificates and new translations. Make sure your English language evidence is still current.

After Submission: Standard vs Priority Processing

Standard ILR processing takes 6–8 weeks. Priority service (5 working days) costs extra and is offered at premium service centres. Super Priority (same or next day) is offered at selected locations. While your case is open, UKVI may send a Request for Further Information (RFI). You may then need more translated documents at short notice. Rush 8-hour translation is available for urgent RFI replies.

Common ILR Refusal Reasons Related to Documents

An ILR refusal is serious. It can harm future applications and may lead to removal proceedings. These are the most common document reasons for a refusal or delay:

Missing or Expired Police Clearance Certificate

Missing police clearance from a country where you lived for 12 months or more is a common cause of refusal. Caseworkers compare your travel history with the countries you list. An expired certificate is not accepted, even by a few days. Check the validity before you apply, and order fresh certificates if yours are close to expiry.

Untranslated Non-English Documents

Sending a foreign-language document with no certified English translation is a clear ground for refusal or return. This applies even to languages close to English. Every word of every non-English document must be translated, including stamps, seals, notes, and notarial text. Part translations and summaries are not accepted.

Name Discrepancies Between Documents and Passport

ILR caseworkers compare names across every document you send. A translated document may show a name that differs from your passport. This happens when spellings are converted differently, when a middle name is added or dropped, or when the name order changes. Any of these raises doubts about your identity. A professional translator who knows your source language will match the spelling to your passport. If a difference cannot be avoided, send a statutory declaration that explains it.

Continuous Residence Gaps Evidenced by Missing Documents

ILR needs continuous lawful residence for the whole qualifying period. Gaps in your financial or employment evidence can cast doubt on whether you really meet it. This matters most for time spent overseas at the start of your UK residence. Translate any overseas employment contracts, bank statements, and tax documents, so you can show your position before and at the start of your UK stay.

Certified Translation Certification Statement Missing or Inadequate

A certified translation must carry a signed statement from the translator. It has to confirm their qualifications, confirm the translation is accurate, and give their contact details. Without that statement, a translation does not meet UKVI standards, however good it is. It is treated as uncertified. Machine translations are rejected for the same reason, even when they read correctly.

Incorrect Visa Route Documents Submitted

Each ILR route asks for different documents. The Skilled Worker route, the spouse route, and the Long Residence route all need their own evidence packs. You can be refused for sending documents from the wrong route, or for leaving out a route-specific item. Skilled Workers need proof of continuous employment; spouses need proof they live together. This can happen even when the translations themselves are perfect.

ILR Document Translation Checklist

  • List every country where you have lived for 12 months or more since you turned 18
  • Get fresh police clearance certificates from each of those countries (some take 4–8 weeks)
  • Collect your birth certificate and any marriage / civil partnership certificates
  • Gather your divorce decrees if you were married before (the full document, not a summary)
  • Collect children's birth certificates if applying with dependants
  • Collect overseas bank statements and employment records if your route needs them
  • Upload all your non-English documents together as one certified translation order
  • Keep copies of every certified translation β€” you can use them again for a citizenship application
