Indonesian Document Translation for UK Visa: 2026 Complete Guide
Indonesia is the world’s fourth-most-populous country. More and more Indonesians apply for UK Spouse, Student, and Skilled Worker visas. Indonesian civil documents use Bahasa Indonesia and the Latin alphabet. But the wording, the layouts, single-name naming customs, and post-2022 Apostille rules all cause specific translation problems. This guide covers every major Indonesian document type UKVI caseworkers expect to see.
Core Indonesian Civil Documents
Every non-English document you send to UKVI must come with a certified English translation. These civil documents are the ones Indonesian applicants are asked for most often, across family, study, and work visa routes.
| Document (English) | Indonesian Name | UK Visa Use |
|---|---|---|
| Birth Certificate | Akta Kelahiran | Dependant, Spouse, Ancestry evidence |
| Marriage Certificate | Akta Perkawinan / Akta Nikah | Spouse visa, Appendix FM |
| Family Card | Kartu Keluarga (KK) | Household composition, cohabitation |
| National ID Card | KTP (Kartu Tanda Penduduk) | Identity supplement |
| Divorce Certificate | Akta Cerai | Prior marriage termination evidence |
| Police Clearance | SKCK (Surat Keterangan Catatan Kepolisian) | Settlement, ILR, long-stay visas |
| Name Change Deed | Penetapan Pengadilan Ganti Nama | Name continuity evidence |
| Death Certificate | Akta Kematian | Widow/widower evidence, inheritance |
Akta Kelahiran (Birth Certificate) Deep-dive
Indonesian birth certificates come from the Dinas Kependudukan dan Pencatatan Sipil (Dukcapil) in the district where the birth was registered. Since 2006, new Akta Kelahiran are printed on national A4 paper and are only partly bilingual — the headings appear in both Bahasa Indonesia and English, but the fields that matter (names, places, dates, the registrar’s declaration) stay in Indonesian. UKVI still needs a full certified English translation. The bilingual headers do not change that, because the evidence itself is not in English.
Older, pre-2006 certificates (Kutipan Akta Kelahiran) vary a lot by region. They may be handwritten, printed on coloured paper, or use Dutch-era wording that some districts still keep. These always need a full translation, and often a translator’s note to explain the old vocabulary.
Single-Name Applicants
Many Indonesians, especially Javanese people, have one given name and no family surname (e.g. “Sukarno”, “Megawati”). Indonesian passports handle this by repeating the single name in both the given-name and surname fields, or by leaving the surname blank. The translator must copy exactly how the passport shows the name — never invent a surname — and add a translator’s note saying that the applicant uses one legal name. This stops UKVI rejecting the file for an identity mismatch.
Kartu Keluarga (Family Card) — The Indonesian Household Register
The Kartu Keluarga, usually shortened to “KK”, is a one-page family card from Dukcapil. It lists every person registered at a household address and their relationship to the head of the family. For a UKVI Spouse visa, the KK works as:
- Evidence of marital status before marriage (applicant listed as child of parents)
- Evidence of who lives in the household after marriage (spouse and children listed together)
- Address history that backs up bank statements and utility bills
- Proof of the link between parents and dependants for Dependant visas
The KK has headers in Bahasa Indonesia only (Nomor Kartu Keluarga, Nama Kepala Keluarga, Alamat, Status Hubungan Dalam Keluarga). The translator must convert every relationship term correctly: Kepala Keluarga (Head of Family), Istri (Wife), Suami (Husband), Anak (Child), Menantu (Son/Daughter-in-Law), Orang Tua (Parent).
SKCK (Surat Keterangan Catatan Kepolisian) — Police Certificate
The SKCK comes from the Indonesian National Police (POLRI). UKVI asks for it for Settlement, Indefinite Leave to Remain, and some Skilled Worker categories. It applies if you have lived in Indonesia for 12 months or more since you turned 18. Key points for translation:
- The SKCK is valid for only 6 months from the issue date — time the translation so it still covers your UKVI application window.
- It usually comes from the Polres (district police) or the Polda (provincial police), depending on why you need it.
- The form has a Rumus Sidik Jari (fingerprint formula) section. Translators copy this code as it is rather than translate it.
- Since 2024 the electronic SKCK (e-SKCK) is the standard — the translator should keep the QR code in the same place in the certified PDF so UKVI caseworkers can check it is genuine.
Apostille — Indonesia’s 2022 Accession
Indonesia joined the Hague Apostille Convention on 5 January 2022, and the Convention came into force on 4 June 2022. This made legalisation far simpler for Indonesian applicants. The old chain of steps (Indonesian Ministry of Law and Human Rights + Ministry of Foreign Affairs + UK Embassy Jakarta) is gone. One Apostille stamp from the Ministry of Law and Human Rights (Kementerian Hukum dan HAM) now does the job.
Translate Before or After the Apostille?
For UKVI, the Apostille goes on the original Indonesian document first. The certified English translation comes after that. The translation must also put the Apostille stamp’s Indonesian text into English. If you translate first and apostille later, the seal ends up on the English translation — still valid, but UKVI caseworkers sometimes query it. So use this order: document → apostille → translation.
Financial & Employment Documents
Indonesian financial documents for Appendix FM-SE or Skilled Worker financial evidence include:
| Document | Indonesian Name | Notes |
|---|---|---|
| Bank Statement | Rekening Koran | Mandiri, BCA, BNI, BRI formats all supported |
| Tax Return | SPT (Surat Pemberitahuan Tahunan) | Annual personal or corporate; needed for self-employed sponsors |
| Employment Letter | Surat Keterangan Kerja | Must include salary, start date, position |
| Payslip | Slip Gaji | 6-month rolling requirement for Appendix FM-SE |
| Company Deed | Akta Pendirian Perusahaan | For business owners / directors sponsoring a spouse |
| Tax ID Card | NPWP | Tax identification supplement |
Academic Documents
For Student (Student route) and Skilled Worker visa applicants:
- Ijazah — the diploma or degree certificate from the university. University names and faculties must be translated exactly, with the Indonesian original kept in brackets.
- Transkrip Nilai — the academic transcript that lists courses and grades. Grade letters (A, B, C) and number GPAs translate directly. The 4.00 scale is the national standard.
- SKL (Surat Keterangan Lulus) — a temporary graduation certificate given before the formal Ijazah. Student route applicants often use it when the Ijazah is not ready yet.
- Akreditasi — the BAN-PT accreditation certificate that confirms the degree is accredited. It matters when your qualification needs to be recognised.
Date Formats & Indonesian Calendar Notes
Indonesian documents use the Gregorian calendar. Dates appear in the European format DD-MM-YYYY or written out as “15 Maret 2024”. Translators should turn month names into English (Januari → January, Agustus → August) and keep dates in the DD Month YYYY format, which is what UKVI expects. Some older documents also show the Islamic Hijri calendar next to the Gregorian date — keep both and label the second one “Hijri”.
Common Transliteration & Translation Traps
| Indonesian | Literal | UKVI-appropriate |
|---|---|---|
| Dinas Dukcapil | Population Department | Department of Population and Civil Registration |
| Kecamatan | Sub-district | Kecamatan (sub-district) — retain original |
| Kelurahan | Village | Kelurahan (urban village) — retain original |
| RT / RW | Neighbourhood / community | RT/RW (neighbourhood/community unit) with numeric code |
| bin / binti | son of / daughter of | Preserve in name (Arabic patronymic) with translator note |
Translator Tip: Always Send the Passport
Before you translate any Indonesian civil document, send your translator a copy of the applicant’s Indonesian passport. Many Indonesian names use a single name, a religious title (Haji/Hajjah), or the bin/binti patronymic, so the translator must match the passport spelling exactly. The most common reason UKVI rejects Indonesian applications is a name that does not match between the translated Akta Kelahiran and the passport.
Frequently Asked Questions
My Akta Kelahiran already has English headers — do I still need a certified translation?
Yes. UKVI needs the real content to be in English, and the bilingual headings on post-2006 Indonesian birth certificates are not enough. Names, places, dates, and the registrar’s declaration are still in Bahasa Indonesia, so you need a full certified translation.
Do I need to apostille my Indonesian documents for UK visa?
UKVI does not strictly require an apostille for visa applications. But an apostilled original plus a certified translation cuts down caseworker queries a lot, so we strongly recommend it for Spouse, Settlement, and ILR applications. Since June 2022, the Ministry of Law and Human Rights issues Indonesian apostilles.
How should my single Indonesian name appear on the translation?
Exactly as it appears on your passport. If your passport repeats the name in both the surname and given-name fields (the usual fix for single-name Indonesians), the translation does the same. The translator adds a note confirming you use one legal name. Never invent a family name — UKVI will reject the application on identity grounds.
My Kartu Keluarga is a laminated card, not a paper document. Can it be translated?
Yes. Modern KKs are A4 paper from Dukcapil. Older or regional versions may be laminated cards. Scan both sides at high resolution. The certified translation copies the table layout whatever the physical format.
Can I use the SKCK I obtained for Indonesian domestic purposes?
Only if it was issued for “Keperluan di Luar Negeri” (for use abroad). UKVI needs the international SKCK. That version includes fingerprinting and comes from the Polda. Ask for it by name when you apply.
How long does Indonesian document translation take?
Standard delivery is 24 hours for a typical 1–3 page document. Rush 8-hour delivery is there for urgent UKVI deadlines. Bundles of several documents (Akta Kelahiran + KK + SKCK + Akta Perkawinan) usually take 24–48 hours, depending on the page count.
