Translating Employment Contracts for UK Visa Applications

When job offer letters and employment contracts need a certified translation for UKVI, what your contract must show, and how to handle documents from foreign employers.

Employment contracts and job offer letters matter in several UK visa categories. A Skilled Worker visa is built around a Certificate of Sponsorship (CoS). But many applicants also hold extra job paperwork from foreign employers. This is common if you are moving from an overseas branch, sending global talent evidence, or applying on the Intra-Company Transfer route. If any of those papers are in another language, UKVI needs a certified translation before it can look at your application.

When Must an Employment Contract Be Translated?

UKVI needs a certified English translation of every supporting document that is not in English. So an employment contract in French, Spanish, Arabic, Mandarin, or any other language must be translated. This is true even if you also send a CoS. The CoS names the role, but overseas letters and contracts give background that caseworkers read on their own.

Which Visa Routes Require Employment Contract Translation?

Skilled Worker Visa

The CoS is the main document. But a foreign employer’s reference letter or old contract may also be needed to back up the role you claim. This is common on salary-based switching applications.

Global Talent Visa

Endorsing bodies (Tech Nation, Royal Society, British Academy, and others) ask for a folder of supporting evidence. Contracts from foreign institutions that show your seniority and your specialism must be translated so the endorsing body can assess them.

Intra-Company Transfer (ICT)

The overseas employer contract is key proof that you really work for the same group of companies. If it is not in English, it must be translated.

Sponsor Licence Applications

A UK business applying for a sponsor licence may point to its overseas group structure. Foreign contracts in that company evidence pack may then need translation.

What the Translated Contract Must Contain

UKVI caseworkers look for certain facts in an employment contract. If a translation leaves them out or makes them unclear, you may get a Request for Further Information (RFI) or a refusal. Make sure the translation covers all of these details:

Contract ElementWhy UKVI Needs It
Employer full legal name and registered addressConfirms the sponsoring entity or group relationship
Job title / role descriptionMust match the SOC code claimed on the CoS
Start date (and end date if fixed-term)Establishes continuity of employment or transfer eligibility
Gross salary and pay frequencyMust meet salary threshold for the visa route
Bonus and commission structureShows whether income that is not guaranteed counts towards the threshold
Probationary period termsRelevant to whether the role is genuinely confirmed
Working hours and locationSupports genuine employment claim
Governing law clauseConfirms the contract’s legal jurisdiction

Employment Contract vs Payslip: Different Documents, Different Rules

These two documents prove different things. Do not mix them up or swap one for the other in your visa pack:

Employment Contract / Offer Letter

  • Sets out the terms and conditions of the job
  • Shows the agreed salary, not the money actually paid
  • Confirms job title, start date, and probationary period
  • A one-off document (signed once, updated if terms change)

Payslips / Salary Statements

  • Prove the salary you were actually paid each month
  • Shows deductions (tax, social contributions)
  • Are used to work out whether you meet the income threshold
  • Come again and again (one for each pay period)

For the Skilled Worker salary threshold, payslips count for more than contracts because they show real payments. The contract backs up the role. Both may need translation if they are in another language.

Translating Probationary Terms and Bonus Structures

Two parts of an employment contract need extra care in translation: probation clauses and variable pay. If either is translated wrongly, a caseworker may doubt that the role is real, or doubt what it pays.

Probationary period: In many civil law countries, a probationary period means something different in law from UK employment law. In France, for example, the période d’essai has a legal maximum length that depends on the type of role. The translator should use the correct term (“probationary period”) and keep the stated length, without adding legal comment.

Bonus structures: Variable pay clauses (performance bonus, signing bonus, commission) must be translated in full. That includes who qualifies and when the money is paid. Caseworkers need to know whether bonus income is guaranteed or is paid at the employer’s choice, because that changes whether you meet the salary threshold.

Frequently Asked Questions

My CoS already states my salary — do I still need to translate my foreign employment contract?

Your UK sponsor issues the CoS, and it gives the role details for UK purposes. A foreign contract or offer letter is extra supporting evidence. If it is in another language, UKVI needs a certified translation before it can look at it as part of your application.

My contract is 15 pages but only 3 pages cover the key terms. Can I translate just those pages?

UKVI guidance says you must certify a full translation of any document you send. If you translate only some pages, the caseworker may think you are hiding something. So send a full translation. If the contract has a clearly labelled summary or schedule of key terms, ask your translator whether a certified translation of that summary is enough for your visa category.
