Polish Birth Certificate Translation for UK Visa Applications
A guide for Polish nationals. Here is how to translate your akt urodzenia for a UK visa application in 2026.
Do Polish Citizens Need Birth Certificate Translation?
Yes. If you're a Polish national applying for a UK visa, the Home Office wants a certified English translation of your Polish birth certificate (akt urodzenia). The rule covers every visa type: work visas, spouse visas, student visas and settlement applications.
UKVI Requirement for Polish Documents
UK Visas and Immigration asks for a certified translation with every document that is not in English or Welsh. So your Polish birth certificate needs a signed statement from a qualified translator. That statement confirms the translation is accurate and complete. Many UKVI officers know Polish documents well, because the Polish community here is large. That does not change the rule. You still need a proper translation.
Understanding Polish Birth Certificates (Akt Urodzenia)
Polish birth certificates look different depending on when and where you were born:
Modern Format (Post-2014)
Newer Polish birth certificates use one standard layout with clear sections. They run to 1-2 pages, printed on both sides. They show your personal details, your parents' details and the registry office details.
Older Format (Pre-2014)
Older Polish birth certificates often have handwritten parts, and they vary by region. Some carry extra notes or stamps. Every word still has to be translated.
Skrócony Odpis (Short Extract)
This is a short extract with only the basic facts. It is not enough for every UK visa type, so check what your route asks for. It is usually 1 page.
Zupełny Odpis (Full Extract)
This is the full extract, with every detail and note. We recommend it for UK visa applications. It runs to 1-2 pages, depending on how many notes it holds.

The translator's full name, qualifications and contact details
Step-by-Step: Translating Your Polish Birth Certificate
Obtain Your Polish Birth Certificate
Ask for a recent copy. The zupełny odpis (full extract) is best. You can get it from:
- Urząd Stanu Cywilnego (Civil Registry Office) where you were born in Poland
- Online via gov.pl portal for Polish citizens
- Polish consulate in the UK (London, Manchester, Edinburgh)
Scan Both Sides
Polish birth certificates usually carry key details on both sides. Scan or photograph each side clearly, at 300 DPI or better. Upload both together. Our system will spot that it's Polish and count the pages correctly.

Common Questions About Polish Birth Certificate Translation
How much does it cost to translate a Polish birth certificate?
A UKVI-certified translation costs £17.99 per page with 24-hour delivery, or £29.99 per page with the 8-hour rush service. Most Polish birth certificates are 1-2 pages, and each side counts as a page. So the standard service usually costs £17.99-£35.98.
Can I translate my own Polish birth certificate?
No. The Home Office does not accept a translation you did yourself, or one done by a family member. That holds true even if you're fluent in both Polish and English. You must use a certified professional service.
Do I need to translate handwritten sections?
Yes. Older Polish birth certificates often carry handwritten notes or corrections. All of that text must be translated. If some handwriting cannot be read, the translator says so in the certification.
Does my Polish birth certificate need an apostille?
For UK visa applications, you normally do NOT need an apostille on Polish documents. The UKVI-certified translation is enough. For visa purposes, both countries accept the documents without extra legalisation.
What if my birth certificate has corrections or annotations?
Every correction, note and margin comment must be translated. That includes stamps such as "Odpis zgodny z oryginałem" (certified copy). It also includes anything registry office staff added by hand.
Is the translation accepted for EU Settlement Scheme?
Yes. UKVI-certified translations work for EU Settlement Scheme applications, standard visas, spouse visas, work permits and every other UK immigration route open to Polish nationals.
Poland's USC Civil Registry System
Only the Urząd Stanu Cywilnego (USC), the Civil Registry Office, issues Polish birth certificates. Every Polish municipality (gmina) has its own USC. Your record sits with the USC in the town where you were born, not the one where you live now.
How the USC System Works
Poland's civil registry has been fully computerised since 2015, under the System Rejestrów Państwowych (SRP). Your original record may have been written by hand in a book decades ago. Even so, the USC can print a modern odpis (extract) from the digital database.
- Zupełny odpis — the full extract. It shows all recorded data, including parents' details, changes and notes. We strongly recommend it for UK visa applications.
- Skrócony odpis — the short extract, with core data only. It works for some visa types. It may not be enough for family or settlement applications.
- Every USC document carries an official stamp (Pieczęć USC), the registrar's signature and a unique number that UKVI can check.
- Since 2021, the USC issues documents on standardised A4 security paper with a holographic stripe.
How to Get Your Polish Birth Certificate from the UK
You do not have to fly back to Poland to get your birth certificate. Polish nationals living in Britain have several options:
Polish Consulate in the UK
The Consulate General of the Republic of Poland has offices in London, Manchester and Edinburgh. You can hand in a written request for an odpis urodzenia there. It takes about 2–4 weeks, because the consulate has to contact your USC in Poland. Bring your Polish passport and your PESEL number.
ePUAP Online Portal (gov.pl)
Do you have a Profil Zaufany (trusted profile) on gov.pl? Then you can order a digital odpis online. It arrives as a PDF with a qualified electronic signature. For your visa, print the PDF and send it with your certified translation. UKVI accepts Polish civil registry documents issued this way.
Direct Request to the USC
You can write straight to the USC in your Polish home town. Send a written application (podanie), a copy of your ID and a prepaid international return envelope. The USC then posts the certified extract to your UK address. Allow 3–6 weeks.
Using a Local Representative (Pełnomocnik)
A relative or trusted contact in Poland can collect your odpis urodzenia for you. They need a power of attorney (pełnomocnictwo). This is often the quickest route, as most USC offices hand over the document the same day.
Which UK Visa Types Require Polish Birth Certificate Translation?
Polish nationals in the UK use several immigration routes. Most of them need a certified translation of your akt urodzenia. Here are the four most common cases:
EU Settlement Scheme (EUSS) — Late Applications
Did you miss the June 2021 EUSS deadline? A late application must show proof that you lived in the UK without a break. If your other papers have gaps, a translated birth certificate is often needed to prove who you are. Caseworkers often ask for it in a late application bundle.
Spouse & Family Visa
Are you sponsoring a non-EEA spouse or partner for a UK Family visa? Then you must send your own birth certificate to prove your identity and nationality. Use the zupełny odpis. It shows full parental details, which UKVI needs to check the sponsor's background.
British Citizenship & Naturalisation
Applying for British citizenship by naturalisation (Form AN) or by registration? You must send a translated birth certificate. It is one of the core identity documents. UKVI uses it to check your full name, date of birth, parents' names and country of birth. Use a recent zupełny odpis, ideally less than 3 months old.
Skilled Worker & Work Visas
A Skilled Worker visa does not always call for a birth certificate. Even so, some licensed sponsors and caseworkers ask for one to confirm your identity. This happens most often when Polish diacritics in your name do not match the spelling in your passport. A ready certified translation saves you delays.
Poland to UK Visa Translation Checklist

- Scan or photograph BOTH sides clearly (300 DPI minimum)
- Upload to UKVI-certified translation service
- Pick standard (24h) or rush (8h), based on your visa deadline
- Receive certified translation via email
- Print and submit with UK visa application
Important for Polish Community in UK
The UK is home to an estimated 700,000+ Polish nationals, so visa officers see Polish documents every day. That does not let you skip the translation. Every Polish document still needs a professional, certified translation that meets UKVI standards.
Polish Birth Certificate Translation Pricing
Standard delivery in 24 hours costs £17.99/page. Polish uses the Latin alphabet with diacritics such as ą, ę, ó, ś and ź, so it stays at the standard rate. Most akt urodzenia documents run to 1–2 pages, counting both sides. That means £17.99–£35.98 for standard service. Rush 8-hour service costs £29.99/page.
Common UKVI Rejection Reasons for Polish Birth Certificate Translations
Only One Side of the Document Translated
Polish birth certificates hold information on both sides. Many people translate only the front and forget the back. The back often carries the registry office stamp, the signature and the issuing details. That gap is a common reason for rejection. Always send both sides.
Handwritten Annotations Left Untranslated
Older Polish birth certificates often have handwritten corrections, notes or stamps in the margins. UKVI wants all of that text translated. If some handwriting cannot be read, the certified translation must say so.
Submitting Skrócony Odpis Instead of Zupełny Odpis
For family visa applications, the short extract (skrócony odpis) may not show enough about your parents. UKVI can then ask for the full extract (zupełny odpis). Order the zupełny odpis from the start and avoid the delay.
Incorrect Transliteration of Polish Diacritics
Polish names with diacritics, such as Łukasz, Żaneta and Małgorzata, must be spelled the same way as in your passport. If your passport drops the diacritics and shows Lukasz or Zaneta, the translation must do the same. A mismatch can make UKVI question your identity.
Polish USC System and Regional Variations
The Urząd Stanu Cywilnego (USC — Civil Registry Office) issues Polish birth certificates. Poland uses one national format, but some differences still matter:
Post-2014 National Format
This format is the same in every voivodeship (region). It comes on official security paper with clear printed fields. Translate both sides.
Pre-2014 Regional Formats
Older certificates differ from region to region, such as Masovian, Silesian and Lesser Poland. Seal designs and registry numbering can be unique to each area.
Communist-Era Certificates (Pre-1989)
Certificates from the Polish People's Republic (PRL) use an older layout. The translator keeps the historic state names, such as "Polska Rzeczpospolita Ludowa", in the certified translation.
Certificates from Former Eastern Territories
Some people were born in areas that were once Polish and now lie in Ukraine, Belarus or Lithuania. Their older documents can look quite different. They still need a full certified translation.
Apostille and Authentication for Polish Birth Certificates
Do You Need an Apostille?
For a standard UK visa application, you do not need an apostille on your Polish birth certificate. A UKVI-certified translation is enough. A few points to note:
- Poland has signed the Hague Convention, so the Ministry of Foreign Affairs (MSZ) can issue an apostille if you need one
- The EU Settlement Scheme and standard visa applications do not ask for apostilles on Polish documents
- British citizenship (naturalisation) cases sometimes ask for apostilled originals, so check your own case
- You can get a Polish apostille in person at the MSZ in Warsaw, or through the Polish Consulate in the UK
