Japanese Documents Translation UK Visa: 2026 Guide
Japan does not issue separate birth or marriage certificates the way most countries do. Its civil records sit inside the koseki (family register) and the juminhyo (residence record). UK visa applicants must translate certain extracts from these records. Most rejections come from three things: era-based dates, kanji-to-romaji names, and the wrong document name. This guide shows you exactly what UKVI expects.
Core Japanese Civil Documents
| Japanese Document | Purpose | UK Use Case |
|---|---|---|
| 戸籍謄本 (Koseki Tohon) | Complete family register | Spouse, dependant, ancestry visas |
| 戸籍抄本 (Koseki Shohon) | Individual extract from register | Birth or marriage evidence |
| 住民票 (Juminhyo) | Residence record | Address proof, cohabitation |
| 出生届受理証明書 | Birth notification receipt | Used when koseki not preferred |
| 婚姻届受理証明書 | Marriage notification receipt | Same-day marriage evidence |
| 独身証明書 (Dokushin Shomeisho) | Certificate of no impediment | UK marriage for Japanese national |
Koseki Tohon vs Shohon — Which Do You Need?
The tohon shows the whole family unit. The shohon shows only the named person. For Spouse visa applications, UKVI usually wants the tohon, because it proves the marriage entry. For a simple birth confirmation, the shohon is enough and costs less to translate.
Japanese Era Dates — The Most Common Error
Japanese official documents use imperial era dates (令和, 平成, 昭和) instead of Gregorian years. The translator must convert them correctly. A wrong birth or marriage year can sink a visa application.
| Era | Start Year | Example |
|---|---|---|
| 令和 (Reiwa) | 2019 | 令和7年 = 2025 |
| 平成 (Heisei) | 1989 | 平成30年 = 2018 |
| 昭和 (Showa) | 1926 | 昭和55年 = 1980 |
| 大正 (Taisho) | 1912 | 大正10年 = 1921 |
Name Conventions (Kanji / Katakana / Romaji)
Japanese names in a koseki are written in kanji. The translation must show three things: the kanji, the hiragana or katakana reading (furigana), and the romaji spelling. The romaji must match the passport exactly. A mismatch with the passport Hepburn spelling is a top-three cause of rejection.
Common Pitfall: Long Vowels (Ohno vs Ono)
A name like 大野 can be written as Ono, Ōno, Ohno, or Oono, depending on the style used. Your translator MUST copy the exact spelling on your passport, not their preferred style. Always send the translator a passport scan with the koseki.
Academic Documents (Tsushinbo, Sotsugyo Shosho)
- 卒業証明書 (Sotsugyo Shomeisho) — graduation certificate
- 成績証明書 (Seiseki Shomeisho) — academic transcript
- 学位記 (Gakuiki) — diploma / degree certificate
- 在学証明書 — certificate of enrolment (Student visa)
- 学士/修士/博士 indications — must be translated to Bachelor/Master/Doctor
Frequently Asked Questions
Does a Japanese koseki need an apostille?
Yes. For most UK visa uses, get the koseki apostilled at the Ministry of Foreign Affairs (MOFA) in Tokyo or Osaka before you have it translated. The apostille must be translated too.
How long are koseki valid for UKVI?
UKVI normally expects one issued within 3 months. A koseki older than 6 months may be questioned. If in doubt, order a fresh copy from your honseki municipal office.
Can I submit only an extract (koseki shohon) for a Spouse visa?
Sometimes. But UKVI often asks for the full tohon, so it can see both partners on the same register. Send the tohon from the start and you avoid a follow-up request.
What about my partner's Japanese name on a UK document?
The UK document (for example, a UK marriage certificate) uses your Japanese partner's passport spelling. The koseki translation should use that same spelling, so both documents match.
