Koseki family register system

Japan's koseki (戸籍) system is a family-based register rather than individual-based civil registration. A "koseki tohon" (certified copy) may contain entries for births, marriages, divorces, and deaths across an entire family. Translators must extract and contextualise the relevant entries for the visa application.

Era-based dating system

Japanese official documents use the imperial era calendar (Reiwa, Heisei, Showa, etc.) rather than the Gregorian calendar. "令和6年" means 2024, but the conversion requires knowing which era began when. Errors in era conversion are a frequent source of date discrepancies in translated documents.

Multiple readings of Kanji names

Japanese Kanji characters used in names can have multiple readings — "太郎" is usually "Taro" but could be read differently. Official documents may include furigana (phonetic guides) that the translator must reference to determine the correct romanisation.
